The purpose of this document and webpage is to ensure that all members, parents, and guardians have clear and easy access to our key club codes of conduct and policies. These policies are in place to help us maintain a safe, positive, and enjoyable environment for everyone involved in our club.

Gymnastics Reborn is committed to providing a caring, friendly and safe environment for all of our members. Bullying of any kind is unacceptable. We believe it is important that participants, coaches, committee members and parents should, at all times, show respect and understanding for the welfare of others.
Our Anti-Bullying Policy has been designed with our entire membership in mind; we recognise that an abuser may be from different groups within our organisation and that bullying can take different forms. If bullying does occur, members should be able to tell and know that incidents will be dealt with effectively. We are a transparent club. This means that ANYONE who knows that bullying is happening is expected to tell staff or a Club Welfare Officer.
The aim of the Gymnastics Reborn anti-bullying policy is to clarify for our members, gymnasts and coaches, that bullying is always unacceptable. We wish to encourage an environment where independence is celebrated, and individuals can flourish without fear. Every gymnast and coach have the right to be safe and happy at Gymnastics Reborn and to be protected when he/she is feeling uncomfortable.
Definition of Bullying
Bullying is repeated behaviour which makes children, young people and others feel uncomfortable or threatened whether this is intended or not.
There are different sorts of bullying, but the main types being:
- Physical Hitting, kicking, taking or hiding belongings including money.
- Verbal Name calling, teasing, insulting, writing unkind notes.
- Emotional – Being unfriendly, excluding, tormenting, spreading rumours, looks.
- Cyber All areas of internet, such as email and chat room misuse.
- Mobile threats by text messaging and calls.
It is not always possible to tell if someone is hurt or upset because people react in different ways and sometimes adults e.g. coaches are unaware of the effect their behaviour has on others. An overzealous coach or one who resorts to aggressive physical or verbal behaviour; tormenting, humiliating or ignoring a person may be accused of bullying.
Possible signs of bullying
Gymnasts who are being bullied may show changes in behaviour, such as becoming shy and nervous, feigning illness or clinging to parents and/or coaches. They may show changes in their work patterns, may lack concentration or may even start to show poor attendance.
Encouragement to tell someone
It is important we create an atmosphere at Gymnastics Reborn where gymnasts who are being bullied, or others who know about it feel that they will be listened to and believed, and that action taken will be swift but sensitive to their concerns. Not telling protects the bully or bullies and gives the message that they can continue, perhaps bullying others too. Gymnasts at Gymnastics Reborn are encouraged to tell either their own coach, the Head Coach or a Welfare Officer.
Procedures
In the first instance it is important to make it clear to the victim that revenge is not appropriate, and to the bully that their behaviour is unacceptable, and has caused distress. Every effort is made by the Club to resolve the problem through counselling of both parties by the Head Coach and Welfare Officers. At this stage parents of both parties will be informed by the Clubs Welfare Team of what has happened, and how it has been dealt with. It is vital that everything that happens is carefully recorded in a clear factual way. If the bullying behaviour continues, and counselling has not worked, then sanctions follow. These will be decided between the Head Coach, and the Welfare Team. Counselling will be maintained for both parties even when sanctions have been applied.
To Gymnastics Reborn Members
We want you to be happy and enjoy your time at the Club. If someone else is behaving towards you in a way that is making you feel unhappy, then we would like you to tell either their own coach, the Head Coach or a Welfare Officer. They will talk to you about it and together with you, decide what can be done to make you feel more comfortable. Remember if you are being made unhappy by someone else we would like to help make it better for you and stop behaviour that makes other
people unhappy.
To Parents
If you think your son/daughter, may be being bullied, or he/she tells you they are, please let your child’s coach, Head Coach or the Welfare Team know straight away. Please reassure them that we will deal with it sensitively but firmly. If your child tells us he/she is being bullied, or we discover that he/she is being bullied, our Welfare Team will contact you, and we can discuss together how the situation can be resolved.
- Cancellation Policy
Gymnastics Reborn operate a cancellation policy to all its classes and lessons.
The purpose of the cancellation policy is to reduce administration to allow registers to be
updated once per month, thereby saving costs, keeping class fees to a minimum.
Notice Required - Recreational Members
Only notice served by email to info@gymnasticsreborn.co.uk will be accepted.
Acknowledgement of notice will always be sent.
As of 1st January 2025, notice can now be given via the cancellation button in your Gym Club Solutions Account.
Notice will not be accepted if the account is in arrears, fees must be paid up to
date for notice to be accepted.
Gymnastics Reborn require one calendar month which must be served on or
before the 1st of the month to take effect for that same month.
In practice this means that should a child wish to leave at the
end of December, notice must be given no later than the 1st December.

Note, if the account falls into arrears, we reserve the right to charge the card on file to clear any balance on the account.

Cancellations of Taster Sessions, Holiday Camps and 1 to 1 Sessions.
All taster sessions, holiday camps and 1 to 1 sessions are non-refundable.
We realise that from time to time, situations can arise, or children can fall ill and so may not be able to attend a class/camp or session. In these situations, we will be able to transfer them to an alternative date providing 24 hours notice is given. This should be sent by email to info@gymnasticsreborn.co.uk
- Coaches Code of Conduct
Applicable to Coaches, Assistant Coaches, Young Leaders and Volunteers
- Uphold the well-being and safety of participants before the development and throughout all gymnastic based activities.
- Hold British Gymnastics coaching qualifications appropriate to the level of class being taught and valid current clear DBS checks, (please note that coaches are permitted to teach skills one level higher than the level of their qualification when under the supervision of a more highly qualified coach).
- Develop an appropriate working relationship with all participants based on mutual trust and respect.
- Make sure all activities are appropriate to the age, ability and experience of those taking part and ensure that all participants are suitably prepared physically and mentally when learning new skills.
- Attend punctually for scheduled classes.
- Display consistently high standards of behavior and appearance, dressing in appropriate uniform and not using inappropriate language at any time whilst involved with club activities.
- Maintain an understanding of Health and Safety issues. Report any possible hazards to the relevant Health and Safety Officer.
- Be familiar with what is expected of you as a coach during an emergency evacuation procedure and act accordingly.
- Record all accidents or incidents of note in the Accident Book.
- Take appropriate action if he or she reasonably suspects that a participant or groups of participants are being subjected to bullying in the gymnasium.
- Understand and adhere to the Gymnastics Reborn Club & British Gymnastics Social Media Policy & Safeguarding & Protecting Children Policy. (Copy given at Induction)
- Make a report to the Welfare Officer if he or she has reasonable concerns that any child may be the victim of abuse.
- Where participants are to be entered for competition, to ensure that they are entered at the most appropriate grade or level for their age, ability and personal desires and that they are able to safely perform the elements required.
- Always identify and meet the needs of the individual gymnast, as well as the needs of the Team/Squad.
- Never exert undue influence to obtain personal benefit or reward. In particular, coaches / officials must not use their position to establish or pursue a sexual or improper relationship with a gymnast or someone close to them.
- Treat all information of a personal nature about individual gymnasts as confidential, except in circumstances where to do so will allow the child to be placed at risk of harm or continue to be at risk of harm.
- Co-operate fully with other specialists (e.g. other coaches, officials, sport scientists, doctors, and physiotherapists) in the best interests of the gymnast.
- Never encourage or condone gymnasts, volunteers, officials or parents to violate the rules of the club or the sport and report any violations appropriately.
- Encourage and guide gymnasts to accept responsibility for their own behaviour and performance.
- Continue to seek and maintain their own professional development in all areas in relation to coaching of children.
- Code of Conduct (Gymnasts)
As a club we are committed to safe-guarding and promoting the well-being of all our members. We believe that it is important that all associated with the club should show respect and understanding for the safety and welfare of others. Therefore, everyone is encouraged to share any concerns or complaints that they have with Paul Newton (Head Coach).
As a member of Gymnastics Reborn all gymnasts must abide by the following rules:
- All gymnasts must participate within the rules and respect coaches, judges and their decisions.
- All gymnasts must respect opponents and fellow club members.
- Gymnasts should keep to agreed timings for training and competitions or inform their coach if they are going to be delayed.
- Members must wear suitable attire for training and events as agreed with the coach. All long hair must be tied back and all body jewellery must be removed. The gymnast will not be allowed to participate while wearing jewellery no matter how recently the piercing took place and artificial nails must not be worn.
- Members must pay for any fees for training or events promptly.
- Members must not smoke, consume alcohol or take drugs of any kind whilst representing the club at competitions or other events.
- Members should treat all equipment with respect.
- Members must inform the head coach of any injuries or illness that they may have had before the warm-up begins.
- Members must not eat or chew gum during a session except when having a break.
- Members must not use bad language.
- Members should remain with coaches at the end of a session until collected by their parent or guardian.
- Code of Conduct (Parents and Guardians)
As a club we are committed to safe-guarding and promoting the well-being of all our members. We believe that it is important that all associated with the club should show respect and understanding for the safety and welfare of others. Therefore, everyone is encouraged to share any concerns or complaints that they have with Paul Newton (Head of Performance Squads).
As a member of Gymnastics Reborn all parents and guardians must abide by the following rules:
- Encourage your child to learn the rules and follow them.
- The safety of the child is the responsibility of the parents before and after they are handed back following a session.
- Set a good example by recognising good sportsmanship and applauding the good performances of everyone. This includes respecting the decisions of the coaches and club.
- Always ensure that your child is dressed appropriately.
- Your child must arrive ready to participate and have plenty to drink.
- Keep the club informed if your child is ill or will not be able to attend any sessions.
- Share any concerns or complaints through the appropriate procedure, found in the complaints policy.
- Use correct and proper language at all times. Any aggressive, abusive, or threatening behaviour will result in you being asked to leave, and potential removal of your child from their session.
- In situations where parental conduct causes a breakdown of relationship between the coaches or coaching team a child’s place may be terminated without notice.
- Always collect you child promptly from every session. Children under the age of 12 are not allowed to go home alone, and no one under the age of 16 can leave alone without the written consent of a parent or guardian.
- Ensure your child’s membership and insurance is paid in full. No discounts or deductions are made for missed sessions including for illness, holidays, or other events outside of the club’s control.
- A gymnast will not be able to train if fees are not up to date. Parents/Guardians also agree to the Gymnastics Reborn Late Payment Policy. Agreement is shown through allowing the children to attend the gymnastics lessons.

- Gymnastics Reborn Complaints Policy
Introduction
At Gymnastics Reborn, we are committed to providing a high-quality, inclusive, and enjoyable experience for all members, families, and staff. We recognise that occasionally things may not go as expected, and we welcome all feedback—positive or negative—as an opportunity to improve.
This policy outlines our approach to handling complaints in a fair, transparent, and timely manner.
Scope
This policy applies to complaints from:
• Club members and their families
• Visitors or the general public
• Staff or volunteers
It covers complaints relating to:
• Coaching, class delivery, or safeguarding
• Facilities, administration, or communication
• Behaviour of staff, volunteers, or other members
Guiding Principles
We aim to:
• Handle complaints promptly, politely, and fairly
• Keep matters confidential where appropriate
• Resolve complaints at the earliest possible stage
• Learn from complaints to improve our services
Gymnastics Reborn is affiliated with British Gymnastics and follows its procedures for competitive matters, disciplinary issues, and membership suspensions or expulsions.
Where a complaint cannot be resolved internally, we will follow the British Gymnastics Complaints Procedures, available on the British Gymnastics website.
How to Make a Complaint
Informal Resolution (Stage 1)
Many issues can be resolved quickly and informally. We encourage anyone with a concern to raise it as soon as possible with a relevant coach or staff member, who will aim to resolve it on the spot.
Formal Complaint (Stage 2)
If the matter cannot be resolved informally, or if it is more serious, please submit your complaint in writing via:

Please include:
• Your name and contact details
• A clear description of the complaint
• Relevant dates and names (if applicable)
• Any supporting evidence
We will acknowledge your complaint within 5 working days and aim to provide a full response within 28 working days.
Please note: For certain complaints, particularly those involving disciplinary matters, we may not be able to share progress updates or final outcomes due to confidentiality.
Further Escalation (Stage 3)
If you are not satisfied with our response, you may request a further review by our Board of Trustees or Director of Operations. This request should be made within 14 days of receiving our written response.
In cases involving safeguarding or serious misconduct, we may refer the matter to British Gymnastics, local authorities, or other appropriate bodies in line with our legal and ethical responsibilities.
Anonymous Complaints
While we take all concerns seriously, we are generally unable to investigate anonymous complaints unless sufficient evidence is provided to warrant further action. We encourage transparency to support a fair and thorough resolution.
Monitoring and Review
All formal complaints will be logged and monitored. The Club will review complaints regularly to identify patterns and take steps to improve our services.
This policy is reviewed annually and updated as needed.
7. Jewellery Policy - Adopted From British Gymnastics
British Gymnastics believes that jewellery and adornments worn in body piercing are inappropriate for safe practice in gymnastics and trampolining. This policy applies to all participants and coaches in training and in events at home and abroad.
Participants
A person participating with body adornments or jewellery MUST inform the coach and also remove the relevant items to reduce the risk of injury to the participant, the coach and others.
Coaches
Whilst a coach is carrying out a spotting or gymnast supporting role; all jewellery must be removed. However if the coach is evaluating performance or giving instruction only; (by this we mean coaching whilst not in direct physical contact with the gymnast or gymnastic equipment), jewellery may be worn.
Exceptions to the above policy may be applicable in special circumstances which are outlined below:
Jewellery that cannot be removed:
It is acknowledged that in some circumstances, it may be impossible to remove a ring and/or dermal piercings. Should this be the case; the ring must be sufficiently covered with protective tape; and the piercings covered sufficiently in order to eliminate any risk.
Newly pierced stud earrings need to be covered with protective tape but must be removed as soon as possible (normally after six-weeks).
For the avoidance of doubt; any jewellery which can be removed, must be removed.
Religious and Medical jewellery:
With regards to the wearing of jewellery; sensitivity to religious beliefs and medical requirements/reasons should be afforded, but safety is paramount and any jewellery that is considered by the coach to be a safety hazard, should be changed or participation may be prohibited. Any concessions on religious or medical jewellery must be within the bounds of reasonable safety. The element of risk should be explained to the coach/participant (parent or guardian) and every attempt to control the risk should be adopted. Examples include the following:
Diabetes Bracelet can be worn; but whilst participation is taking place a sweatband or similar must cover the item in order to eliminate any risk. The coach in charge must also be advised that a participant is wearing the bracelet for medical emergency reasons.
Sikh Kara - Bracelet worn in the Sikh religion; can be worn, but whilst participation is taking place a sweatband or similar must cover the item; in order to eliminate any risk.
Religious Necklaces – Examples are; the Crucifix necklace for Christians or the Mangalsutra necklace as a symbol of marriage for Hindu women. On safety grounds, no participant should be permitted to participate whilst wearing necklaces, be they religious or other.
NB: if a sweatband is used to cover up an item of jewellery when doing vigorous activity, the sweatband should be taped in place to minimise the risk of the sweatband slipping and exposing the item of jewellery.
8. Late Collection Policy
At Gymnastics Reborn, we understand that delays can occasionally happen. However, to ensure the smooth and safe operation of our classes, holiday camps, skills clinics and 1 to 1 sessions, and out of respect for our staff's time, we have implemented the following Late Collection Policy:
- Up to 10 minutes late – No charge
- 10–14 minutes late – £10 charge
- 15–19 minutes late – £15 charge
- 20–24 minutes late – £20 charge
- 25 minutes or more – £25 + £1 per additional minute
Payment Terms:
Late collection fees must be paid by card or cash at the time of collection or within 24 hours of the late collection.
If a card is saved on your account and no payment has been received within 24 hours, the fee will be automatically charged to that card.
If you anticipate being late, please notify us as soon as possible. While this won’t waive the fee, it helps us prepare and ensures your child is looked after safely.
9. Late Payment Policy
As a club we do all we can to minimise the cost for all the members.
All payments for class fees (Gymnastics or Parkour Lessons) should be paid by standing order on, or before the 1st of the month, for the same month. This means that class fees for January must be paid no later than 1st January, for example.
Where payments are not made on or before the 1st of the month a late payment fee applies. This fee is the greater of:
- £5 per month
- 10% of the total balance, per month.
This late payment fee is applied each month to any outstanding balance on an account.
We recognise that in some cases situations outside of an individual’s control can result in payments being late. In these situations, we encourage parents/guardians to contact us by email (info@gymnasticsreborn.co.uk) as soon as possible to avoid a late payment fee being added to the class fees.
10. Photography and Video Policy
Gymnastics Reborn will use photography and video to celebrate achievement, promote the club and as a valuable coaching aid.
Parents and carers are asked to consent/remove consent in the initial participation agreement online. Consent can be withdrawn at any time by emailing info@gymnasticsreborn.co.uk or by updating your preferences on your online account.
Coaches and staff should not use personal devices to take pictures of club members, and personal phones are to be turned off except in the case where a phone is used as a club contact number or for emergencies.
Coaches and staff need to consider the content of the photograph and whether it could be misused before posting any image. Images remain available on the internet forever and have the potential to cause harm or embarrassment to individuals in the short or long term.
Coaches and staff should not post images or videos of club members taken on club premises, or at an event representing the club, on their personal social network sites unless permission has been given by the club member, their parent (if the club member is under-18) and by a club official.
Parents or carers should not take photos or videos of training sessions including videoing the CCTV screen.
Photos may be displayed within the club facility, used in a printed club newsletter or promotional materials, club Facebook page or club Instagram account.
Photography or video is strictly forbidden in the toilets (or changing facilities).
At any external event, if any coaches, staff, volunteers, children or parents have any concerns regarding inappropriate or intrusive photography (in terms of the way, by whom, or where photography is being undertaken), these should be reported to the event organiser or another official.
Concerns reported to the club will be dealt with in the same way as any other child protection issue and the lead welfare officer (Lecy Robinson) must be informed.
Concerns about professional photographers should also be reported to their employers.
If there are concerns or suspicions about potentially criminal behaviour this should include referral to the police.

11. Privacy Policy
At Gymnastics Reborn we take your privacy seriously and will ensure your personal information is kept secure. We provide gymnastics and fitness activities and are registered with British Gymnastics.
As a parent/gymnast of Gymnastics Reborn you will need to provide us with some personal information as detailed below but there will also be a requirement for you to register with a number of third parties such as British Gymnastics for registration and insurance requirements. These third-party providers will have their own privacy policy.
REASONS WE COLLECT AND USE YOUR PERSONAL INFORMATION
The legal reasons we rely on to process information about you are as follows:
Performance of a contract – where you sign up to the gymnastics activity you have requested. We will use the information to communicate to you about this activity, provide changes to any terms and conditions and to process payments (where relevant).
Legitimate Activities – to meet the legitimate operational requirements of the club to manage all activities and to ensure your child is well supported and safe whilst participating in gymnastic activities. This includes:
Asking you to provide sensitive personal data such as medical or disability information if we have a legal obligation such as under the Equality Act 2010 or as part of our common law ‘duty of care’.
Requesting your consent to carry our relevant risk assessments – some individuals may present with a medical condition that may be a risk or cause harm from participating in gymnastics. It is vital that you share any relevant medical information.
Consent – we provide information about your requested gymnastic activity, general club news, related classes and activities, products and opportunities that we think will be of interest to you via email, SMS or via social media. You can ask us to stop sending you this information at any point by following instructions in the relevant communication.
We will also request your consent for filming and taking photos for coaching purposes and/or to promote the club on our website, club social media account and in communications. All film and photos of children will only be published in line with our safeguarding policy.
OUR LEGITIMATE INTERESTS ARE AS FOLLOWS :
- Sending information by email about our competitions and events.
- To respond to any comments, questions or complaints you may have.
- Maintaining class attendance records and contact details for emergency purposes.
- To conduct committee and other business operational activities.
- To share information with British Gymnastics for regulatory and operations purposes and to enable gymnasts to participate in British Gymnastics competitions and events.
- To hold emergency contact information for relevant individuals.
- To promote activities, news and competition results on our website and through social media.
- To respond to misconduct and safeguarding concerns.
- For administrative purposes through our booking platform, Gym Club Solutions.
INDIVIDUAL RIGHTS
You have important rights under data protection law. In summary these include:
- To be informed about how your information is processed (set out above).
- To access any personal data held about you.
- To have your data rectified if it is inaccurate.
- To have your data deleted (except if there is a valid lawful reason to retain it).
- To have your information restricted or blocked from processing.
- To object to direct marketing and any processing based on legitimate interests.
You have the right to object to any of the above uses of your information by contacting us. Please note that in some cases, this may affect our ability to carry out the things we need to do for you to take part in gymnastics.
WHY WE SHARE YOUR INFORMATION
Except for sharing outlined above, we will not share your information with any other organisations unless we have your consent to do so, to comply with a legal obligation or in exceptional/emergency circumstances where we believe that the sharing of information about you is vital to protect the gymnast or another person including safeguarding a child or another individual who is at risk. Any information that is shared will be strictly limited to what is required to ensure those at risk are protected from harm and will be carried out in accordance with the law and relevant government guidance.
If you/your child want(s) to enter a competition provided by an external organisation, we will, with your agreement, share the information required to enter the event, usually name, DOB and gender. Most competitions are large events and there are likely to be photographers and people filming.
KEEPING YOUR PERSONAL INFORMATION SECURE
We have appropriate security measures in place to prevent personal information from being accidentally lost or used or accessed in an unauthorised way. We limit access to your personal information to those who have a genuine reason to need to know it, and is never shared outside of our membership base, save for circumstances listed above. Those processing your information will do so only in an authorised manner and are subject to a duty of confidentiality.
If you leave the club, the information you have provided will be deleted, except where there is a legitimate and lawful reason to continue to hold your data. In the absence of a legitimate and lawful reason to retain information we hold about you, this will be deleted after 12 months, unless you re-join the club within that period.
CHANGES TO THE PRIVACY NOTICE
We keep our privacy notices under regular review. This privacy notice was last updated on 1 January 2025.
12. Refunds Policy
Refunds Policy
We understand that overpayments can occasionally occur, and in such cases, we aim to resolve them as fairly and efficiently as possible.
As a club, it is our policy that refunds will only be issued where the overpayment was the result of a Direct Debit, Subscription, or payment generated directly by Gymnastics Reborn.
For payments made via bank transfer or standing order, we are only able to offer a credit note for the overpaid amount. Refunds will not be issued in these cases.
Please note:
- Overpayments must be brought to our attention within 3 months of the payment date. We are unable to offer refunds or credit notes for any overpayments reported beyond this period.
- All credit notes are valid for 6 months from the date of issue and are only redeemable at the location where the overpayment occurred.
- To request a refund or credit note, you must email info@gymnasticsreborn.co.uk

13. Safeguarding Policy
Gymnastics Reborn recognise that all children and young people have a right to protection and that the welfare of children, young people and vulnerable adults is paramount. BGC acknowledges their duty of care to safeguard and promote the health, safety and welfare of children, young people and vulnerable adults by ensuring safeguarding practice reflects and complies with best practice and British Gymnastics (BG) policies (which are updated regularly based on changes to legislation).
